Position Summary:

The Fleet & Procurement Administrative Assistant is responsible for updating and maintaining vendor and supplier portals, ensuring data accuracy and supporting the Fleet & Procurement Management teams. This role offers opportunities to learn all aspects of the Fleet Assistant Manager’s responsibilities, providing a pathway for growth. The position requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with team members while maintaining high standards of confidentiality and professionalism.The Fleet and Procurement group plays a vital role in ensuring efficient and cost-effective operations within the organization.

Responsibilities

Tasks and Responsibilities

 

  • Data Management:
    • Enter and update data in databases and vendor portals accurately and efficiently.
    • Verify data for accuracy and completeness.
  • Reporting and Analysis:
    • Generate reports and assist with data analysis as needed.
    • To track and measure driving performances and vender spending.
  • Team Collaboration:
    • Work with team members to resolve discrepancies or errors.
    • Reduce delays and downtime and stay transparent with open communications.
  • Standards Compliance:
    • Adhere to established data entry procedures to ensure consistency and accuracy.
    • Maintain confidentiality of sensitive information.
  • Managerial Support:
    • Act as a backup for Fleet Managers during travel or vacation periods.

Qualifications

Skills and Abilities

 

  • Education and Experience:
    • High school diploma or equivalent.
    • Proven experience in data entry or related administrative roles.
  • Technical Proficiency:
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Familiarity with data entry software and vendor portals is a plus.
  • Key Competencies:
    • Strong attention to detail and accuracy.
    • Excellent organizational and time management skills.
    • Ability to work independently and prioritize tasks effectively.

  • Additional Qualifications (Preferred):
    • Experience in fleet or procurement roles.
    • Strong communication and interpersonal skills.
  • Additional Qualifications (Plus):

                - Bilingual proficiency in French and English.
